Privacy Policy
This Privacy Policy applies to the RoboAssist mobile application on both Apple iOS and Google Android (collectively, the "App"). RoboAssist is a surgeon-to-surgeon communication service developed by Arthro Studio ("RoboAssist," "we," "us," or "our"). By using the App, you acknowledge the practices described in this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the App.

RoboAssist is intended for healthcare professionals, particularly surgeons, who wish to communicate with professional colleagues for robotic surgery assistance and related professional collaboration.
RoboAssist supports communication between healthcare professionals. It does not replace independent clinical judgment, patient assessment, institutional procedures, or emergency services.
2. Information we collect
We may collect and process the following categories of information.
A. Account and authentication information
- Full name
- Email address
- Password or authentication credentials, which are handled through our authentication provider
- Account identifier
- Information received when you choose an available third-party sign-in method, such as Apple or Google sign-in
- Authentication session and password-reset information
B. Professional profile and contact information
- Hospital or professional institution
- City and country
- Mobile telephone number
- Robotic platform expertise
- Subspecialty or professional interests
- Availability and current-call status
- Professional connections, connection requests, and responses
C. Help-request and consultation information
Do not enter a patient's name, contact details, medical-record number, government identifier, photographs, or other directly identifying patient information into a help request, annotation, profile, or other App field. Users are responsible for complying with applicable privacy, medical-confidentiality, hospital, and professional requirements before discussing any case.

D. Live audio, video, and annotations
With your permission, RoboAssist accesses your device camera and microphone to provide live surgeon-to-surgeon calls. Android may also request Bluetooth access so that compatible Bluetooth audio devices can be used during a call.
Audio and video are transmitted through our real-time communications provider to participants in the live room. The App is not designed to record or permanently store call audio or video. Drawings or annotations shared during a call are transmitted to the other participant and are not designed to be retained as a permanent clinical record by the App.
Other call participants may use capabilities outside RoboAssist, such as device screenshots or screen recording. Obtain all required permissions and avoid displaying identifiable patient information.
E. Device and notification information
RoboAssist does not use precise location, contacts, advertising identifiers, or photo-library access as part of its current core functionality.
- Apple Push Notification service or Firebase Cloud Messaging device token
- Mobile platform, notification environment, and notification-delivery information
- App configuration and authentication-session data stored on the device
- Camera, microphone, Bluetooth, and notification permission status
- Basic network and technical information necessarily processed when the App communicates with its service providers, such as IP address, request time, device/network metadata, and service logs
3. How we use information
We use information to:
- Create, authenticate, secure, and manage user accounts
- Build and display professional profiles
- Find relevant available surgeons based on robotic-platform expertise
- Send, accept, reject, route, and complete help requests
- Establish and operate live audio/video consultation rooms
- Synchronize in-call annotations
- Send request, response, account, and service notifications
- Maintain availability, current-call status, request history, and call logs
- Enable professional networking and mutually authorized contact sharing
- Provide account support and password recovery
- Administer the service, investigate errors, prevent misuse, and protect users and systems
- Comply with legal obligations and enforce applicable terms and policies
- Improve the reliability, safety, and functionality of RoboAssist
We do not sell personal information. We do not use personal information for cross-app behavioral advertising, and the current App does not include a third-party advertising network.
4. When information is disclosed
A. Other RoboAssist users
Professional profile details, including your name, hospital, city, country, robotic expertise, subspecialty, availability, and appropriate connection status, may be visible to other authenticated RoboAssist users through directory, matching, request, and network features.
Help-request details may be disclosed to authenticated surgeons as needed to identify, route, and respond to a request. The selected or participating surgeon will receive the information necessary to assess and join the consultation. During a live call, participants receive the audio, video, and annotations you transmit.
Private contact information is intended to be shared only through authorized features, such as mutually approved professional connections, except where access is required for administration, security, support, or law.
B. Administrators
Authorized RoboAssist administrators may access account, profile, availability, current-call, device-registration, and service-status information to operate, secure, and support the service. Administrators are not provided with live call audio or video through the App.
C. Service providers
We use service providers to operate RoboAssist, including:
- Supabase for authentication, databases, server functions, and related backend infrastructure
- LiveKit for real-time audio, video, and data communication
- Apple Push Notification service for notifications to iOS devices
- Google Firebase Cloud Messaging for notifications to Android devices
- Apple and Google when a user chooses their respective sign-in services
These providers process information on our behalf or under their own applicable terms and privacy policies. Information may be processed in countries other than the country where you live.
D. Legal, safety, and business requirements
We may disclose information when reasonably necessary to comply with law, regulation, legal process, or enforceable government request; protect the rights, safety, and security of users or others; investigate fraud, abuse, or security incidents; or support a merger, financing, reorganization, transfer, or similar business transaction subject to appropriate safeguards.
5. Legal bases
Where applicable law requires a legal basis, we process information as necessary to provide the service you request and perform our agreement with you; based on your consent, including device permissions; for our legitimate interests in operating, securing, supporting, and improving RoboAssist; and to comply with legal obligations.
You may withdraw a device permission through iOS or Android settings. Withdrawing camera or microphone permission will prevent live-call functionality. Disabling notifications may prevent timely delivery of help requests and responses.
6. Data retention
We retain account, profile, professional-network, help-request, and call-history information for as long as reasonably necessary to provide RoboAssist, maintain security and service records, resolve disputes, and meet legal or professional obligations.
When you delete your account through the App, RoboAssist initiates deletion of your authentication account and associated profile and device tokens. Active requests you created are cancelled, and your participation identifiers are removed from requests created by other users where applicable. Certain records may remain for a limited period where required by law, necessary for security or dispute resolution, or retained in protected backups until those backups are overwritten.
Live call audio and video are not designed to be recorded or stored by RoboAssist. Temporary network processing may occur as necessary to deliver a call.
7. Security
We use reasonable technical and organizational safeguards designed to protect information, including authenticated access, encrypted network transport, database access controls, limited administrative access, and short-lived call-access credentials.
No method of electronic transmission or storage is completely secure. Users must protect their account credentials and devices, promptly report suspected unauthorized access, and use RoboAssist only on trusted networks and devices where appropriate.
8. Your choices and rights
Depending on your location, you may have rights to request access to, correction of, deletion of, restriction of, or a copy of your personal information, and to object to or withdraw consent for certain processing.
You can:
- Review or update profile information in the App
- Change camera, microphone, Bluetooth, and notification permissions in device settings
- Sign out of the App
- Delete your RoboAssist account through Settings in the App
- Contact us about a privacy request
We may need to verify your identity before completing a request. Some rights may be limited where retention or processing is required by law or necessary to protect other users' rights.
9. Patient information and healthcare responsibilities
RoboAssist is a professional communication tool and is not intended to serve as an electronic health record, patient record, medical-device record, or permanent repository for protected health information.
Healthcare professionals and their institutions are responsible for determining whether and how RoboAssist may be used in a clinical environment, obtaining any necessary patient or institutional permissions, minimizing disclosed information, and complying with applicable professional, privacy, health-data, and medical-confidentiality laws.
10. Children's privacy
RoboAssist is intended for adult healthcare professionals and is not directed to children. We do not knowingly permit children to create RoboAssist professional accounts. If you believe a child has provided personal information through an account, please contact us.
11. International data processing
RoboAssist and its service providers may process information in multiple countries. Those countries may have privacy laws different from those in your jurisdiction. Where required, we will use appropriate safeguards for international transfers.
12. Third-party links and communication services
The App may provide links or actions for email, telephone, WhatsApp, Instagram, Apple, Google, or other third-party services. When you leave RoboAssist or communicate through a third-party service, that provider's privacy policy and terms apply. RoboAssist is not responsible for the privacy practices of independent third parties.
13. Changes to this Privacy Policy
We may update this Privacy Policy to reflect changes to RoboAssist, our providers, or applicable requirements. We will revise the effective date and provide additional notice through the App or another appropriate channel when required. Continued use after an update means the revised policy applies to subsequent use, subject to applicable law.
